Movement begins in the design of the work
An artwork's transport impact is often treated as a logistical matter that begins when a courier is booked. In reality, movement is shaped much earlier by dimensions, weight, fragility, assembly and the number of people needed to handle the work. A piece designed in modules may travel by road where an indivisible work requires air freight. A standardised frame may share a crate. A removable base may prevent large amounts of empty volume from being shipped.
These choices must remain faithful to the artwork. Modularity should not be imposed where a seamless form is essential, and lightness should not compromise stability. Yet asking how the work will move at concept stage allows transport to become part of intelligent design rather than an emergency solved with excess packaging.
Packaging protects value
Packaging has an environmental cost, but damage has one too. An artwork that arrives broken may require a second journey, new materials, specialist labour and loss of confidence. The aim is therefore not minimal packaging in the abstract. It is the minimum system that provides reliable protection through the expected handling, route, climate and number of journeys.
Gallery Climate Coalition guidance places refusal and reuse before reduction, repurposing and recycling. Artists can ask suppliers not to add unnecessary layers, retain clean materials, specify appropriately sized boxes and design reusable sleeves, pouches or crates. Synthetic protective materials may be justifiable when they survive many uses; their value depends on an actual reuse system, not the word reusable in a description.
Build a reuse system
Reusable packaging needs identity, instructions, space and responsibility. Mark each component with the artwork or crate reference. Photograph the packing sequence. Indicate which face contacts the work, which tape or strap is compatible and how the material should be stored. If packaging is to return, name the person who arranges it and include the return movement in the schedule and budget.
Clean working areas extend the life of packing material. Dust and fragments can abrade surfaces, while uncontrolled tape adhesive can make a sheet unusable. Inspect after each journey and replace only the compromised component. Keep a record of trips so that the environmental and financial value of reuse can be demonstrated.
Reusable crates are particularly effective for works likely to travel repeatedly, but they should not become permanent monuments to a single short journey. Consider adaptable interiors, bolted rather than permanently bonded components, standard external dimensions and a route for storage. For local movement, padded blankets, straps and rigid travel frames may sometimes avoid a full crate where a professional handler confirms they are adequate.
Choose the route, not only the courier
Transport decisions should consider mode, distance, consolidation, urgency and handling risk. Air freight generally carries a much greater climate impact than sea or road alternatives for comparable freight, but precise estimates depend on route, weight and methodology. Request a lower-emission alternative and an estimated greenhouse gas figure where the shipper can provide one. Retain actual weight rather than relying only on volumetric billing weight for internal carbon records.
Consolidation can reduce the number of journeys but may extend lead times or require intermediate storage. Build time into contracts, exhibition schedules and collector conversations. A deadline created by late photography, delayed paperwork or indecision can turn air freight into the only feasible option. The environmental intervention may therefore be a production calendar rather than a different vehicle.
Local delivery should also be planned. Combine collections and drop-offs, use appropriately sized vehicles and avoid sending a dedicated vehicle for documents or small components that could travel separately. For high-value work, security and condition remain essential; efficiency should be designed with the fine-art handler, not imposed without understanding the risk.
Loans, returns and unsold work
The return journey belongs in the transport plan. Loan and consignment agreements should state who retains packaging, how the work will return and what happens if an exhibition extends or a sale is pending. Without this clarity, reusable material is discarded, crates occupy unplanned storage and a second system is built for the return.
Condition reports should be proportionate but consistent. Photograph the work before departure, on arrival and before repacking. A small abrasion caught early may be stabilised locally; one discovered after another journey can become a larger treatment. Reliable condition information also supports decisions about whether consolidated or slower routes remain appropriate.
Unsold work deserves planning rather than embarrassment. Review exhibition production before making speculative quantities, but protect the integrity of the artistic project. After a show, decide which works return to active inventory, which remain with the gallery, which can be reconfigured and which require long-term storage. Repeatedly moving the same work between temporary spaces can outweigh small efficiencies achieved in its packaging.
Insurance, security and sustainability are not opposing concerns. A well-designed crate, accurate value, qualified handler and clear record can allow lower-impact routes to be considered with confidence. The aim is to reduce urgency and uncertainty, not to expose the work to avoidable risk.
International movement and material restrictions
Customs, dangerous goods rules and wildlife-trade controls can affect artworks and their packaging. Batteries, solvents, aerosols, magnets, powders and other components may require declaration or specialist handling. Timber or animal- and plant-derived materials may require accurate species identification and CITES documentation. Requirements depend on the material, form, age, origin, destination and current listing.
Check before sale or loan, not at the point of dispatch. Missing information can cause delay, storage, return transport or seizure. A material record, supplier evidence and photographs make classification easier. Specialist advice is particularly important for unusual, reclaimed or composite materials whose origin is difficult to establish.
Installation as a material event
Exhibitions use walls, plinths, paint, lighting, fixings, vinyl, temporary graphics and protective surfaces. Ask what the venue already owns, what will be built, where materials will go afterwards and whether standard systems can be adapted. A modular plinth or reusable wall panel may serve many exhibitions when its dimensions, storage and finish are planned collectively.
Installation instructions reduce waste and risk. State lifting points, orientation, acceptable fixings, required tools, tolerances and the number of installers. Include photographs or a diagram. If an arrangement can vary, define the acceptable parameters so the venue need not seek last-minute approval or remake components.
Lighting should meet both artistic and conservation needs. More light is not always better. Efficient fittings, appropriate beam control and realistic operating hours can reduce energy and exposure. For sensitive materials, a conservator or experienced technician should help define the display conditions.
Exhibition travel and presence
An artist's presence can be important to installation, interpretation, relationships and professional development. The guide does not treat travel as a moral failure. It asks whether every journey is necessary, whether several purposes can be combined and whether rail or another lower-emission route is feasible. Remote participation can support some meetings, but it should not be used to erase the human relationships on which art depends.
Keep a simple travel record and review patterns annually. The greatest opportunity may be fewer return visits through better installation documentation, a trusted local technician or dates coordinated across projects. Where travel remains necessary, acknowledge it honestly rather than relying on offsets to avoid reduction.
